These are the 2025-26 rules

The 2026-27 NDIS Pricing Schedule (a Ministerial determination effective 24 September 2026) sets prices only. The NDIA's pricing page says it will “shortly publish updated pricing and claiming guidance documents” and still links the 2025-26 Pricing Arrangements, which this calculator uses for notice periods. The 2026-27 Support Catalogue has changed how some cancellations are claimed: your result shows a note if this applies. Check the NDIA pricing page for newer guidance before you claim.

Claiming window

From 1 December 2026, the time to make a claim for supports under a participant's plan drops from 2 years to 90 days.

Conditions for claiming

The Pricing Arrangements say providers can claim “up to 100% of the agreed fee associated with the activity from the participant’s plan, subject to the NDIS Pricing Arrangements and Price Limits and the terms of the service agreement with the participant.” The official conditions and guidance, in their 2025-26 wording:

  • The provider was not able to find alternative billable work for the relevant worker and, if not a sole trader/partnership, are required to pay the worker for the time that would have been spent providing the support
  • Providers should document the terms of short notice cancellations polices in participant service agreements.
  • Providers may choose to waive the short notice cancellation fee at their discretion (this may relate to the individual circumstances of the participant) or offer better terms of a notice period from their own policies.
  • Claims for a Short Notice Cancellation should be made using the same support item that would have been used if the support had been delivered, using the “Cancellation” option in the myplace portal.

2026-27 change: the last condition no longer holds for every support type. In the 2026-27 Support Catalogue, therapy, early childhood, behaviour support, hearing, dietetics, employment-related assessment and exercise physiology items have a separate “Cancellation” support item ending in _CA instead. The table below shows how to claim for each support type we've checked.

How we count notice: we count the whole days between the cancellation date and the support date (for the 2-business-day rule, only weekdays that aren't public holidays). This matches the worked examples in the Pricing Arrangements, which don't define “clear” days.

Frequently asked questions

What counts as a short-notice cancellation?

Under the 2025-26 Pricing Arrangements, it's less than 7 days' notice for most disability support worker supports, or less than 2 clear business days' notice for most other supports such as therapy. A participant not showing up, or not being at the agreed place when you travel to deliver the support, also counts.

How much can I claim for a short-notice cancellation?

Up to 100% of the agreed fee for the support, if the conditions are met and your service agreement sets out your cancellation terms. You can also choose to waive the fee.

Is there a limit on how many cancellations I can claim?

There's no hard limit, but providers have a duty of care. If a participant has an unusual number of cancellations, you should try to understand why. The NDIA monitors cancellation claims.
